Spreadsheets are genuinely one of the best tools ever built for getting a business off the ground. They're also one of the easiest tools to quietly outgrow without noticing, until the cracks start costing you real money.
1. More than one person edits the same sheet
Version conflicts, overwritten formulas, and "who changed this?" become a weekly occurrence. Every additional person touching the same spreadsheet multiplies the risk of silent data corruption.
2. Deadlines depend on someone remembering to check
Renewals, restocks, and follow-ups that rely on a person opening a sheet and noticing a date is close — rather than an automated reminder — will eventually get missed. It's not a discipline problem, it's a tooling problem.
3. You're maintaining the same numbers in multiple places
Stock counts in one sheet, sales in another, and a WhatsApp group as the real source of truth for what actually happened. When these disagree, someone has to manually reconcile them — every single time.
4. Leadership can't get a straight answer without asking someone to "pull the numbers"
If every report requires a person to manually compile data before a decision can be made, your business is bottlenecked on that person's availability, not on the decision itself.
5. An audit or compliance check would be genuinely stressful
If someone asked you right now to produce a clean, verifiable history of a specific customer, device, or transaction, and your honest answer is "give me a few days to dig through files" — that's the clearest signal of all.
None of these on their own mean you need custom software tomorrow. Two or three of them happening at once, every week, is usually the point where a real system pays for itself quickly. See our piece on when custom software is actually worth it for how to think about that decision.
